ADMINISTRATIVE ASSISTANT
Definition This is an administrative class with duties involving
planning, coordinating, supervising and participating in
the purchase of materials, equipment and supplies; the
administration of the City's personnel program; and doing
related work as required. Duties are performed under
administrative direction.
Examples 1. Consults with department heads relative to purchasing
of Duties requirements, procedures, specifications, bids, complaints,
and special problems.
2. Reviews and analyzes requisitions and purchase orders
to determine sources of supply.
3. Contacts firms and individuals and interviews salesmen
regarding prices, quotations, and specifications.
4. Processes formal bids on major purchases and recommends
awards.
5. Follows up on purchase orders, traces shipments, and
expedites delivery of materials.
6. Reviews and recommends revisions to rules, regulations,
policies, and procedures relating to personnel administration.
7. Reviews and recommends salary adjustments, classifica—
tion changes, and fringe benefits.
i 8. Plans and coordinates the processing of applicants in—
cluding recruitment, examination, certification, and placement.

9. Directs and supervises the maintenance of personnel records.
10. Administers the provisions of the personnel ordinance.
11. As assigned, makes appraisals of properties and negotiates
settlements with property owners.

12. Performs a variety os administrative functions as assigned
by the City Manager.
13. Directs the preparation of correspondence and reports.

Employment Any combination of training and experience equivalent to
Standards graduation from college in public or business administration
and four years of progressively responsible experience in
purchasing, personnel, or closely related field, including
two years in a supervisory capacity.

EXHIBIT "A"
Definition • This is a responsible position assisting the City Manager
with administrative responsibilities. Under general super-
vision of the City Manager, the employee excersises considerable
initiative in carrying out a variety of assignmerts. The
work requires an extensive knowledge of municipal governmental
functions and involves observation, analysis, compilation and
reporting in the fields of management, finance, personnel,
public works and engineering.
Examples 1. Checks .and guides preliminary staff work to assure that
of Duties accurate information is available and that the details of
City policies have been worked out for inclusion in contracts,
ordinances and reports.
2. Makes investigations and studies and prepares reports for
the City Manager on special projects, surveys, studies;
citizen complaints, etc.
3. Assists in the preparation of the annual budget .and other
information for dissemination to the public.
4. Coordinates the preparation of and analyzes monthly reports
from all departments and/or divisions.
•5. Performs a variety of administrative functions as assigned
by the City Manager.
Employment Extensive knowledge of the functions of municipal government,
tanda-r—ds its relationship to the jurisdiction of other public agencies,
the principles of public administration and the principles of
administrative analysis. Ability to write and speak effectively;
to make organizational and procedural studies and prepare
comprehensive reports; to establish and maintain effective
working relationships with officials and employees of the City,
other governmental jurisdictions and the general public.
Two years of responsible experience affording familiarity with
the problems involved in governmental administrative work and
graduation from college with a major in public administration,
political science, business administration, economics; or any
equivalent combination of experience and training.
