RECOMMENDED ACTION:
City Council introduce Ordinance No. and adopt
Resolution No. ltpytf .
ITEM EXPLANATION:
City staff has recognized a need to create several new classifi-
cation descriptions as a result of changes within clerical
sections and the duties assigned. One recent change involves
the installation of word processing systems within the Planning
and Central Services Departments. Job requirements and duties
of incumbents operating this equipment are more complex than
those described in existing classifications. Another, more
gradual change is the growth in the number of employees in the
clerical support sections with the Planning and Central Services
Departments. Responsibilities for supervising employees and
coordinating the clerical work processed by these two departments
are assumed by the incumbents, Secretary II's. A third and final
change has occurred in the duties assigned to the secretary in
the City Manager's office. Increased responsibilities include
completing a wide variety of administrative coordination activi-
ties and providing staff assistance to elected and appointed
officials.
The Personnel Department in concurrence with the three affected
departments has developed appropriate classification descriptions
for Word Processing Operator I and II, Office Supervisor, and
Executive Assistant. Duties within these descriptions more
accurately reflect the jobs which are performed. The recommended
salary ranges for these proposed miscellaneous classifications
are as follows: Word Processing Operator I - $460.68 - $546.12,
Word Processing Operating II - $480.52 - $570.73, and Office
Supervisor - $570.73 - $679.41 biweekly. The recommended salary
range for the proposed management classification of Executive
Assistant is $633 - $754 biweekly.
FISCAL IMPACT:
Anticipated reclassifications will increase direct salary costs
by $7,981 - $9,688 annually, and $665 - $807 monthly. Planning
Department, Central Services Department, and the City Manager's
office indicate that funds are available.

WORD PROCESSING OPERATOR I
WORD PROCESSING OPERATOR II
DEFINITION
Under general supervision, to operate word processing and composing
equipment; and to perform varied general clerical duties; and to do
-related work as assigned.
DISTINGUISHING CHARACTERISTICS
Routine use of word processing equipment and procedures is the
primary distinguishing characteristic between these classes and the
Clerk Typist I,,II and Steno Clerk I, II classes. Positions requir-
ing only occasional use of word processing equipment are not included
in this class.
Word Processing,Operator I
This is the entrance level for employees who are required to have ,
minimal skills in operating word processing equipment, but no
previous experience. Employees in this class normally work under
continuous supervision performing a group of repetitive or closely
related duties according to established procedures. Generally
work is observed and reviewed both during its performance and upon
completion, and changes in procedure or exceptions to rules are
explained as they arise. Word Processing Operators I are normally
considered to be on a training status. As assigned responsibility
and breadth of knowledge increase through successful job performance, {
skill development, and experience, incumbents may reasonably expect
their positions to be reassigned to the next higher class of Word
Processing Operator II. Under this training concept, positions 3
assigned to the class of Word Processing Operator II which become i
vacant may reasonably be filled at the Word Processing Operator I
level.
Word Processing Operator II
Positions in this class are normally filled by advancement from the
lower grade of Word Processing Operator i or when filled from the
outside, require prior experience operating word processing equip-
ment. A Word Processing Operator II works under general supervision
and is expected to extensively use a variety of word processing
functions including organization and revision of copy, and combina-
tion of variables, requiring only occasional instruction or assistance.
Adequate performance at this level requires the knowledge of depart-
mental procedures and the ability to choose among a limited number of
alternatives in solving routine problems and setting priorities.
A Word Processing Operator II is expected to work productively even
in the absence of supervision.
EXAMPLES OF DUTIES
Operate word processing typing and composing equipment to produce
rough and final copy of correspondence, minutes, reports, forms,

tables, charts, manuals, and other printed material written or
dictated by city staff.
Performs coding or programming operations to transfer, merge, justify
margins, search for specific items and skip items.
Make amendments or corrections to copy.
Maintains accurate files and logs of stored material.
Reviews accuracy ok final copy.
Maintains security of confidential information.
May train other employees on word processing equipment.
Answer the telephone and wait on the general public, giving infor—
mation as required.
Sort and file documents and records according to predetermined
classifications,.maintaining alphabetical, index, and cross
reference files.
Perform assorted duties as assigned including xeroxing and mailings.
Prepare simple statistical reports.

that could likely provide the required knowledge and abilities.
A typical way to obtain the knowledge and abilities would be
one year of experience operating word processing equipment
and two years of experience performing clerical duties.

and public contact; to provide administrative assistance in
assembling, compiling, and summarizing information for departmental
reports and projects; and to do related work as required'.

Encumbents of this class perform a variety of complex secretarial,
clerical, and routine administrative tasks for a department head
and in support of departmental operations and staff. Positions
assigned to this class are required to fully supervise an office
staff consisting of three or more clerical. positions.
EXAMPLES OF DUTIES
Coordinate clerical and routine administrative activities involv-
ing the assignment of work and priorities, determine work require-
ments, and review work upon completion.
Provide administrative assistance in completing various internal
reports and studies, in statistical and written formats, ;
