I CITY A' CITY M E > 8 E a 2 o g 1 0 z 3 0 0 a CImF CARLSBAD - AGENDmILL 4 RECOMMENDED ACTION: Adopt 2esolution No. 85/& , approving the purchase of three Xerox mach transferring fmds; and approve a policy of stardardizirg with Xerox copy m ITEM EXPLANATION Demands on all departments for more information have resulted in larger vol copies being produced on our copy machines. To date, those neds have been primarily with two high-volune machines. Certain unavoidable factors , howel it no longer feasible to operate with only two high-volume copy machines. factors are: (1) Substantid increase in qmntity of copies prduced; and (2) The Housiq and Redevelopment Office is inpacted by both factors. They are experiencing substantial increases in copy volume as a result of increased in Redevelopment, and the addition of several cmmittees (for hich agenda must be produced each month). Their increased copy voluine canbind with th distance from existing machines evidence their need for a high-volume machi their office. This is also substantiated by the frequent breakdowns of the existing mid -volume mach ine . Departments who have consistently produced high copy volumes will soon be i the distance factor. Those departnents are the Police Department (moving tc Safety Center), ad Wilding, Planning and Engineering Departments (movirg Palmas Drive). It is, therefore, necessary to acquire three additional high-volume copy ma4 meet the neds of all departments. In 1983, staff perfoned a t'mrough and high-volume copy machines on the market, ad recanmended installation of Xe equipment. A review of that market today results in the saqe recanmerdatioi Therefore, it is recanmerded that Council authorize staff to purchase three volume COPY machines fran Xerax. Additionally, it is requestel that Counci standardizing with Xerax copy machines. Experience, to date, with other mat Seen unsatisfactory. Standardization would also be more cost effective in terns of providing sup the machines. Supplies for all Xerox mdels can be ordered by Purchasing, q ccmbined for quantity discount prices. That the above recitation is true and correct. 2. That the purchase of three high volume Xerox copy machines in not to exceed $170,000 is hereby approved. 3. That the City Council authorizes the fmding of the purchase three Xerox copy machines by a fmd transfer fran the General Fund unappropriated fmd balance.
