I MTG, 8/22/89 PURCHASE OF DUPLICATION EQUIPMENT CITY A DEPT.L CITY M RECOMMENDED ACTION: Adopt Resolution No.SC/"2T? , approving the purchase of four copy machir various city departments, and approving the transfer of funds. ITEM EXPLANATION The city currently has copy machines located in several of its departme various locations throughout the city. There is now a need to replace five o existing copy machines. Since Council approved standardization on Xero machines on April 22, 1986, the recommended replacement machines will all bc machines. Las Palmas: In May, 1986, a Xerox 1075 copy machine was purchased and ins at 2075 Las Palmas to meet the copy demands of the Planning, Building, Engir and Utilities/Maintenance Departments in their new facility. Due to the continuing high volume of copies and other problems with the ma it is necessary to replace the Xerox 1075 with a machine capable of meeti current and future copying requirements. They are averaging 104,000 copie: service calls per month. Unforeseen technical problems have also occurred as a result of the placen computers at Las Palmas. The document handler on the 1075 is unable to original documents produced on Laserjet printers. They also need the cap; of running computer printouts through the copy machine, and the document t on their current machine can't process the large computer paper. It is recommended that the existing Xerox 1075 be replaced by a Xerox 10s machine. The Xerox 1090 will handle the continuing high volume copy demand Palmas, and will resolve the technical problems being experienced with thc Research Office: The 1989-90 budget included a copy machine for the Research to replace an existing machine which no longer meets the needs of that depar The City will also receive a Xerox 5028 as part of a promotional offer from when we lease/purchase the Xerox 1090. The Xerox 5028 would be the appro machine for the Research Office. Senior Center: The 1989-90 budget included a copy machine for the Senior to replace an existing machine which no longer meets the needs of that depar A Xerox 5028 will be purchased at a cost of $5,824 to meet their needs. current machine will be transferred to the Purchasing Department, and Purcha model 2830 will be returned to Xerox for credit toward the purchase of the U/M at 405 Oak: There is an existing Xerox 1045 located at 405 Oak Avenue. machine is on a rental plan. It is recommended that a Xerox 5028 be lease/pur to replace the Xerox 1045. The Xerox 5028 is a newer model and should me needs of that division for several years. # m a Police Administration: This machine is also a Xerox 1045 which is exper. frequent jams. This machine is also on a rental plan, and should be repl; a Xerox 1040. This would provide the personnel with a newer model machi lower monthly payments. FISCAL IMPACT The purchase price of the Xerox 1090 for Las Palmas is $68,114. It is recon that the City utilize Xerox’s 60-month, 0% financing, lease/purchase plan f Xerox 1090. Monthly payments (including $295 for maintenance) would be $1,: At the end of the 60-month lease, the City could purchase the 1090 for $6, (a 10% buyout). The lease/purchase of the 1090 will also provide a Xerox 5028 for the Rc Office. The Xerox 5028 would cost $6,834, but as part of the promotional 01 the Xerox 1090, the 5028 will be provided at no cost. $7,206 was budgeted in account #001-820-1610-3900 for the purchase of i machine, and the remainder of the funds are available in account #001-820 2420. Therefore, Council approval is required to transfer the $7,206 from a #001-820- 1610-3900 and the transfer of $6,000 from account #001-820-3010-23 The 1989-90 budget includes funds for the purchase of a copy machine for the Center. It is recommended that Police Administration and U/M at 405 Oak lease/purchasc new machines. They are currently paying $437 and $240 per month respective1 the lease/purchase payments would not exceed their current expenses. The funds are available in their budgets to cover the cost of the lease/purchase new machines. EXHIBITS 1.
