ITEM EXPLANATION As part of the process of outfitting the new Carlsbad library, staff requested bids for the provision of electronic equipment. Bid No. 13 was a request for pricing on equipment to be used for the recording of events on video and audio tape. Bid No. 17 covered general audio visual equipment requirements throughout the new building. There were a total of 260 line items in these bid packages. In accordance with Section 3.28.120 of the Municipal Code, Notice to Bidders was published and Requests for Bid (RFB) were sent to vendors. For Bid No. 13, twelve vendors received packages and three responsive bids were received. For Bid No. 17, twenty vendors received packages and four responsive bids were received. The lowest responsive bids were received from Hoffman Video Systems (Bid No. 13) and Audio Associates of San Diego (Bid No. 17). Bid tabulation follows: Bid No. 13 - Video & Audio Production Equipment Hoffman Video $259,567.60 Televideo $264,360.32 Audio Video Supply $267,526.01 Bid 17 - General Audio Visual Equipment Audio Associates $133,863.52 Westek Presentation $135580.21 Consolidated Media $140,283.35 Audio Video Supply $146,226.62 Bid No. 13 also included several “optional” items for which staff requested bids. The decision to purchase these items depended on the amount of the base bid shown above and the amount remaining in the budget for this type of equipment. Based on the bid received from Hoffman Video, staff wishes to purchase two additional “optional” line items from this vendor for an additional $51,788.96. The optional items are a video editing system with an accessory package. This makes the total award $311,356.56 for Bid 13. FISCAL IMPACT Funds for this equipment are a part of the capital budget for equipping the new library. EXHIBITS Resolution No. 94 - I/ 0 I RESOLUTION NO. 99-110 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF CARLSBAD, ACCEPTING TWO BIDS AND AUTHORIZING THE EXECUTION OF PURCHASE ORDERS. WHEREAS, the City of Carlsbad requires electronic equipment and systems for the new Carlsbad Library, and; .WHEREAS, proper purchasing procedures have resulted jn the receipt of bids from qualified vendors; WHEREAS, there are sufficient funds appropriated in the capital project account; NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Carlsbad as follows: 1. The bid of Hoffman Video Systems, 1049 Flower St., Glendale CA 91221 is hereby accepted. 2. The bid of Audio Associates of San Diego, 8200 Center Drive, La Mesa CA 91942 is hereby accepted. 3. The Purchasing Officer is hereby’ authorized and directed to issue purchase orders for electronic equipment to these contractors.
