Staff recommends Council adopt Resolution No. 34 - I‘i 8 , approving the purchase of computer
equipment for the new library.
ITEM EXPLANATION
Attached is a list of computer equipment needed for the new City of Carlsbad main library. The
City’s Information Systems Department created this list in response to the Library’s general
specifications and expressed need for computer equipment to support future plans and programs.
The equipment will be used for catalog system access, community internet access, customer
computer use, staff work, and similar activities.
The equipment will be purchased from the Compaq Computer Corporation by accessing their
“Expanded Government Program” agreement. For several years, this agreement has given the City
access to the lowest available prices for Compaq equipment. (The Information Systems
Department decided to standardize with Compaq equipment many years ago.)
In the desktop computer industry, prices often drop and older models are frequently replaced with
upgraded items. The actual equipment purchased may differ slightly from the items on the attached
list. The Information Systems Department will review and approve any changes.
The required computer equipment will be split into two groups: Compaq equipment, which consists
mainly of the computers, and computer peripheral equipment (monitors, printers, etc.). The
peripheral equipment will be bid using normal processes because it not available from Compaq and
no other agreement available at this time assures access to the lowest reasonable prices. Staff
wishes to purchase the Compaq equipment without delay due to the possibility of long lead times
from this manufacturer.
FISCAL IMPACT
The funding source for this purchase is the technology component of the new library project (CIP,
South Carlsbad Library construction project). The budgeted amount is $1 ,I 00,000 for the purchase
of computer hardware, software and related items for the new building.
