1999 GRAD NITE CONTRIBUTIONS
RECOMMENDED ACTION :
Adopt Resolution No. 9%ow approving the 1999 Grad Nite Contributions of $5,000,
which is to be distributed on a proportionate basis to Carlsbad High School, La Costa Canyon
High School, and San Dieguito High School Academy.
On January 12, 1999 City Council approved Council Policy #61, Grad Nite - Request for Citv
contributions to Grad Nite Activities, appropriating $5,000 to be distributed on an equitable basis
to Grad Nite Committees that serve Carlsbad high school seniors. (Exhibit 2).
Staff sent the Annual Grad Nite Donation Request Form to the four high school Grad Nite
Committees serving Carlsbad seniors. The following three (3) high schools have requested cash
contributions and have met all resident requirements:

FISCAL IMPACT:
Staff is requesting $5,000 be approved from the City Council FY 98/99 Contingency Fund and be
transferred to the Community Contributions account # 0014540-8540 to fulfil1 Council Policy #I61
for the 1999 Grad Nite activities.

RESOLUTION NO. 99-204
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF CARLSBAD,
CALIFORNIA, AUTHORIZING $5,000 FROM THE FY 1998/99 CITY
COUNCIL CONTINGENCY FUND TO FUND COUNCIL POLICY #61
WHEREAS, on January 12, 1999 the City Council approved Council Policy Ml,
Request For Citv Contributions To Grad Nite Activities.
WHEREAS, San Dieguito Academy, Carlsbad High School, and La Costa Canyon
High School Grad Nite Committees have requested donations and have met all resident
requirements.
WHEREAS, based on Council Policy Ml, Staff has calculated the following donation
distributions: Carlsbad High School, $3,550; San Dieguito Academy, $250, and La Costa
Canyon High School, $1,200.
NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Carlsbad,
California does hereby approve the transfer of $5,000 in funds from the FY 1998/99 City
Council contingency fund and hereby transfer to the Recreation Community Contributions
Account and that the Finance Director is authorized to appropriate this money for Grad Nite
Activity Donations.
PASSED, APPROVED, AND ADOPTED at a regular meeting of the City Council of
the City of Carlsbad, California, held on the 8th day of June, 1999, by the following vote
to wit:

PURPOSE
To establish a methodology by which the City Council can provide annual support on an
equitable basis to Grad Nite Activities for high school seniors who reside in Carlsbad.
STATEMENT OF POLICY
The Carlsbad City Council has established a methodology of distribution for annual
donations of cash and/or in-kind services not to exceed a total value of $5,000. The
maximum donation will be reviewed every three (3) years by the City Council.
Contributions are to be distributed on a proportionate basis to the Grad Nite Activities
provided in affiliation with the local high schools which serve Carlsbad seniors.
PROCEDURE
1. Each Grad Nite Activity Committee serving Carlsbad seniors must provide the
following items by March I”, of each school year to the City Manager’s office:
1. Written request for contribution from authorized representative of
Grad Nite Committee.
2. Designate request for cash and/or in-kind services. Describe the in-kind
services (i.e. facility rental and/or City Services).
3. Official documentation verified by the School District Superintendent’s
Office indicating the number of high school seniors attending each
respective high school that reside in Carlsbad.
4. Address to where the contribution should be mailed.
2. The City Manager or designee will determine the donation that each Grad Nite
Committee is to receive based upon the total number (and percentage) of Carlsbad
residents enrolled as seniors at each respective high school.

3. The value of in-kind services will be determined by the City according to the
established City salary schedules and existing Facility Use Fees.
4. Facility and service requests are subject to availability
5. All contributions will be subject to City Council approval prior to distribution.
6. Grad Nite Committees will be notified by letter once the City Council has approved
the contributions.
7. Grad Nite Committees will receive cash donations in the form of a check by mail.
