ANCILLARY OFFICE FURNITURE ITEMS

IECOMMENDED ACTION:
Staff recommends Council adopt Resolution No. 9 9 -303, accepting bids from Office
Pavilion of San Diego and Contract Interiors for the purchase and installation of off-contract
office furniture for the new Faraday Administration Building.
ITEM EXPLANATION
Most of the office furniture and related items needed for the new building are available from the
furniture contractor with whom we have a current relationship (Office Pavilion of San Diego).
However, there are several required items which are not part of the contract. These items must
be acquired using a bid process due to their aggregate cost. This furniture includes special
purpose filing cabinets for staff offices and seating for public areas.
In accordance with Section 3.28.120 of the Municipal Code, Notice to Bidders was published and
Requests for Bid (RFB) were sent to 12 vendors. Three responsive bids were received. Since few
furniture dealers sold all the items we needed, it was decided to group the items by
manufacturer and issue awards based on these groups. This would assure maximum competition between vendors. The lowest responsive bids were received from Office Pavilion
of San Diego for two of the manufacturer groups (Egan and Fortress) for a total of $30,341.32,
and from Contract Interiors for six of the groups (Fire King, Holga, Plan Hold, Bernhardt,
Montissa and Neutral by Design) for $77446.39.
FISCAL IMPACT
Funds for the furnishings are available as part of the budget for the Faraday Administration
Building.

RESOLUTION NO. 99-303
A RESOLUTION OF THE CITY COUNCIL OF THE CITY
OF CARLSBAD, ACCEPTING TWO BIDS AND AUTHORIZING
THE EXECUTION OF PURCHASE ORDERS.
WHEREAS, the City of Carlsbad requires off-contract furnishings for the Faraday Administration
Building, and;
WHEREAS, proper purchasing procedures have resulted in the receipt of bids from qualified
vendors;
NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Carlsbad as follows:
1. The bid from Office Pavilion of San Diego, 9220 Trade Place, San Diego CA 92126 for items
manufactured by Egan and Fortress ($30,341.32) is hereby accepted.
2. The bid from Contract Interiors, 9365 Waples St. Ste D, San Diego CA 92121 for items
manufactured by Fire King, Holga, Plan Hold, Bernhardt, Montissa and Neutral by
Design ($77,446.39) is hereby accepted.
3. The Purchasing Officer is hereby authorized and directed to issue purchase orders for office
furniture to these vendors.
PASSED, APPROVED, AND ADOPTED at a regular meeting of the City Council of the City of
Carlsbad held on the 14 day of September , 1999, by the following vote to wit:
