Adopt Resolution No. Jw7Y ) approving out of state travel for the Assistant City
Clerk to participate in the Association for Information and Image Management (AIIM)
Annual Exposition and Conference in New York City.
ITEM EXPLANATION:
The Assistant City Clerk has been invited to participate as a speaker in the AIIM Annual
Exposition and Conference, in New York City, April 29 - May 3,200l. As project
manager for the City’s DMS, she has been requested to participate in a presentation at the
conference regarding implementation of the City of Carlsbad’s Document Management
System (DMS).
In accordance with Council Policy, staff requests approval for out of state travel for the
Assistant City Clerk to participate in the AIIM Annual Exposition and Conference, in
New York.
FISCAL IMPACT:
When the Records Management Department budget for fiscal year 2000-01 was prepared,
staff did not know that that this invitation would be received, and did not include this
conference in the travel budget. Speakers at this conference are not required to pay the
$1,495 registration fee, however, costs for travel, lodging, and meals will need approval.
Costs for attendance at this conference will be approximately $2,550. Funds for these
expenses are available in the Records Management Project budget.

5 WHEREAS, the Assistant City Clerk has been invited to speak at the AIIM 2001 Conference,
6 regarding the implementation of the City’s Document Management System; and

WHEREAS, the City Council concurs with staffs request to authorize out of state travel for the
Assistant City Clerk to attend and participate in the Association of Information and Image Management
200 1 Conference in New York City.
NOW, THEREFORE, BE IT RESOLVED, by the City Council of the City of Carlsbad, as
follows:
1. That the above recitations are correct.
2. That out of state travel is hereby authorized, in accordance with City policy, for the Assistant
City Clerk to attend the AIIM 2001 Conference in New York City, April 29 - May 3, 200 1.

3. That the City Council hereby approves the expenditure of $2,550, from the Records
Management budget to cover the associated travel costs for this conference.
PASSED, APPROVED, AND ADOPTED at a regular meeting of the Carlsbad City Council held
on the 13th day of March ,2001, by the following vote, to wit:
AYES: Council Members Lewis, Finnila, and Hall.
