Citywide Audio-Visual Support Agreement
Recommended Action
CA Review ft-IV"
Adopt a Resolution authorizing execution of an agreement with AVI Systems, Inc. to provide full
service, support and maintenance for all currently existing audio-visual equipment in city
facilities, in an amount not to exceed $285,364.00 for a one-year period.
Executive Summary
Over the past several years, the city has installed audio-visual (AV) hardware and software
technology throughout city facilities. As a result, the city needs a professional service provider
who specializes in AV technology that can provide professional, well trained and certified staff
knowledgeable in all facets of AV technologies to support the city's current and future AV
equipment.
AVI Systems Inc., has been providing professional and competent AV support to the city since
October 2017 on an as needed basis. AVI Systems, Inc. is extremely responsive and has the
fully qualified staff trained and certified in audio visual technology required to meet our
demands.
By using a single vendor for AV support and maintenance citywide, the city will gain consistency
and continuity for its integrated AV technologies. The city will be able to leverage consistent
pricing and establish a relationship with a vendor that can meet the city's current and future
AV demands.
Pursuant to Section 3.28.060, Procurement of Professional Services and Services, of the
Carlsbad Municipal Code, the City Council shall be the awarding authority for procurement of
professional services and services for which the cost to the city is more than $100,000 per
agreement year.
Discussion
As technology has become more common place in everyday life, the city has become more and
more dependent on AV equipment. For example, the city uses sophisticated AV equipment to
allow the City Council to vote, to live stream City Council and Planning meetings on cable
channels and to provide multimedia presentations to the public. Therefore, AV support for
staff throughout the city has become a regular necessity.
