HomeMy WebLinkAbout2012-01-18; Library Board of Trustees; MinutesApproved: ITEM #3 MEETING OF: DATE OF MEETING: PLACE OF MEETING: MINUTES LIBRARY BOARD OF TRUSTEES Wednesday, January 18,2012 Carlsbad City Library Board Room 1775 Dove Lane, Carlsbad CA CALL TO ORDER: Chair Bob Benson called the meeting to order at 4:01 p.m. ROLL CALL: Present: Library Board Trustees Benson, Bradley, Hinman, Hulsart, and Lignante Absent: None Staff Present: Heather Pizzuto, Library Director Dave Curtis, Deputy Library Director Suzanne Smithson, Deputy Library Director Jessica Padilla Bowen, Community Relations Manager Steve Didier, Library Management Analyst Prior to the agenda. Sr. Librarian Glynn Birdwell introduced new Technology Librarian Andrea Hilliard to the Board. APPROVAL OF MINUTES: The minutes of the December 13, 2011 meeting of the Library Board of Trustees were unanimously approved as submitted by proper motion (Hulsart/Hinman) and vote. Josh Williams of BW Research was on hand to present agenda item number five which was then taken out of order. 2011 LIBRARY SURVEY AND TLA 50 STUDY Consultant Josh Williams reviewed the various methods used in surveying patrons and residents and information obtained from a focus group representing individuals 50 and older. He reviewed the findings and answered questions from members ofthe Board. The survey was conducted in spring, 2011, funded in part through a state grant resulting from the Library's participation in the Transforming Life After 50 initiative. Library Board of Trustees Paqe 2 Minutes of January 18. 2012 Meeting Library & Cultural Arts Director Pizzuto explained the purpose of the survey was to evaluate programs and services and how best to deliver them especially for the larger over fifty population in the area. The Board was provided with a copy of the Executive Summary and advised that a copy ofthe entire report would be provided to those who wanted it. MONTHLY LIBRARY REPORTS: Trustee Bradley asked for an update on the new coffee cart at the Dove Lane location and Library & Cultural Arts Director Pizzuto responded that feedback has been positive thus far and the Library was investigating having the courtyard designated a non-smoking area which would enhance the use ofthe area as a gathering place and benefit the coffee cart. Trustee Hulsart asked about the webinar to discuss the impact of the elimination of state literacy funds. Deputy Library Director Smithson responded that the webinar has not occurred yet and the State Library has been collecting information from the programs within the state to determine how many can continue without the state funds. Recent results show less that 100 programs will continue. Library & Cultural Arts Director Pizzuto added that there is no expectation that any funds will be reinstated this year and little expectation of any in FY2012- 13, based on the Governor's proposed budget. CARLSBAD READS TOGETHER: Community Relations Manager Jessica Padilla Bowen brought the Board up to date on the plans for the program in April. Fallbrook author, T. Jefferson Parker's book. The Iron River, has been selected for the read and he will be at the Library to speak and sign books on Saturday, April 14. Other events in the planning include a mystery film series, an Agatha Christy mystery reading by the Carlsbad PlayReaders, and a panel discussion on elements ofthe story dealing with border issues and gun control. She touched on other possible programs that are being considered which will be reported to the Board when all the plans are finalized. CALTAC WORKSHOP IN MARCH 2012: Library & Cultural Arts Director Pizzuto referenced the recent announcement of the CALTAC workshop in Burbank on March 10, noting the deadline for registration which the Library will submit. Trustee Bradley reported that she will attend as will the Director. DIRECTOR'S REPORT: Library & Cultural Arts Director Pizzuto briefed the Board on the following items- Audlobooks - The transition to a different vendor for audiobooks was delayed partially due to the reduction in administrative staffing at the Serra Cooperative Library System as the result of Library Board of Trustees page 3 Minutes of January 18, 2012 Meeting the state funding cuts. Currently our ebooks are provided through Serra's grant funded contract and the Library is pursuing a linked contract for audiobooks with the same provider. Serra - The contract for delivery/exchange of materials expires next week and the system libraries will be responsible for the exchange of materials using the county library locations as exchange points. Work is also underway to develop a method to provide second level reference service which will no longer be available from the Serra offices. FY2012-13 Budget - Directions for next year's budget are expected at the meeting scheduled for January 30 and the calendar will be distributed to this Board at the February meeting. Also on the Board agenda will be the discussion of a proposed fine/fee change related to the laptop/tablet loaner program. Requests for Proposals - Two RFP's have been released by the Library, one for the PC /Print Management services and the other for the potential redesign of certain interior areas at both Dove Lane and Cole facilities to prepare for a future re-carpeting. Both proposals have February deadlines for submittals. Staffing - The Library has two vacant positions, the Sr. Librarian for Collection Development and Acquisitions, currently temporarily filled, and the Principal Librarian position in charge of the Learning Center. The Library is in the process of analyzing staffing needs which may translate into a restructuring with a systemwide approach to service delivery. More recently Library Administration has expanded the scope of the analysis to address department-wide challenges which include program funding limitations in the Cultural Arts office. Under consideration is the redistribution and blending of some staff. More information will be forthcoming as these concepts are further developed and evaluated. Meetings - Both the City Council Strategic Planning Workshop for the next year and a state- wide forum for library directors are scheduled for next week and reports on both will be included on the agenda for the February Library Board meeting FOUNDATION REPORT: Trustee Hulsart reported on their recent meeting where the board received the summary report on the last mini-golf which was not as successful a fund-raiser as anticipated. She added that the Board is looking to increase its members from the community. Library Board of Trustees Page 4 Minutes of January 18, 2012 Meeting FRIENDS OF THE LIBRARY REPORT: Trustee Hulsart, also reporting for the Friends, noted that there has been a significant increase in donations but at the same time the Friends are looking at the impact ebooks and other technology might have on their primary source of revenue, the sale of used books. NSDC GENEALOGICAL SOCIETY: Board Liaison Marg Kealey reported on January programs and upcoming programs in February. Also of note is the Society's annual visit to Salt Lake City on February 5. Genealogy classes continue at the Cole Library and are free. LIBRARY BOARD COMMENTS: Trustee Bradley shared with the Board her experience at the January 14 Library program on adventure travel featuring Karin Muller and had brought several of Ms. Muller's books with her for the Board's benefit. ADJOURNMENT: By proper motioa^radley/Hulsart) and vote the meeting was adjourned at 5:14 p.m. Cissie Sextt Administrative Secretary ITEM #4 Monthly LIBRARY Reports for December 2011 Systemwide... 1. Three holiday concerts were held in December. The first was December 1 at the Library Learning Center and featured multi-linguist jazz singer Allison Adams Tucker. She performed world jazz and holiday carols in English, Spanish and Portuguese. Over 50 people attended. On December 4, approximately 50 people attended a concert at the Cole Library featuring Dean Ratzman, who sang as well as played piano, trombone and trumpet. On December 11, Grammy-nominated singer Peria Batalla performed in Schulman Auditorium for 100 people. Many said it was one ofthe best concerts they had seen. 2. The 23^*^ annual Magee Park Poets Anthology was released with a reading and celebration on December 7. The anthology is published each December with the support ofthe Friends ofthe Carlsbad Library. Eighty poets from around San Diego County submitted their work and 41 poems were selected. The anthology is available for purchase for $5 in the libraries and all funds go to the Friends, who have sold enough copies to have already made back the money invested to publish the anthology. 3. Senior staff from all divisions participated in the annual Library Strategic Planning Workshop. Library Division Heads and Supervisors spent a half day together reviewing current Strategic Initiatives and exploring potential initiatives for 2012-13. CCL, Dove Lane... 4. The Carlsbad Playreaders ended the 2012 season on a high note with a popular reading of the winter love story "Almost, Maine" on Decembers. Nearly 170 people attended and raved about the show, directed by the Playreaders new Artistic Director Maelyn Gondola. 5. The library's Wednesday film series featured two puppet-related films to tie into the Cannon Art Gallery exhibition 'The World on a String: Puppets from the Alan Cook Collection." The December 14 film was the Jim Henson/Frank Oz film "The Dark Crystal" and the December 21 film was 'The Muppet Christmas Carol." Both movies were enjoyed by audiences of all ages and the gallery stayed open late both evenings to allow patrons to visit before and/or after the films. 6. The First Thursday Book Club read "The Help" by Kathryn Stockett and drew 9 readers for the conversation. The First Wednesday Book Club read "Cutting for Stone" by Abraham Verghese drawing 11. 7. In December, Teen Services hosted three Games and Refreshments events which were enjoyed by 31 teens. Teen Services' Pizza & a Movie Night featured "Batman." 17 teens had a great time viewing the movie and socializing. 8. The Children's Division had three extremely successful programs during the month of December: the annual "Visit with Santa" on December 9 attracted 295 children and adults, Monthly Library Reports for December 2011 a Hanukkah Party on December 14 had 60 attendees and the first (but definitely not last) Star Wars Celebration drew 87 adults and children, many of whom came in costume! Georgina Cole... 9. December programs in the Children's area featured a focus on winter and the holidays: Cool Carols with Clint Perry on December 6 (74 participants); Snow Story Craft on December 13 (42 participants); a visit and photos with Santa on December 15 (155 participants); Holiday Music from Around the World on December 20 (42 participants) in which high school student volunteers played holiday music and instructed the younger children how to play with simple instruments; and on December 21 our Winter Wonderland Family Fest (20 participants) which included crafts, cookies, and music. 10. The highlight for teen programs in December was "A Very Animanga Christmas" on December 7 with 20 participants. 11. Cole Children's Librarian Missy Shaw visited Casa de Amparo (a local organization that offers child abuse prevention and remediation programs) on December 6 and shared information about the Carlsbad City Library with preschoolers and their parents and concluded with a storytime presentation. 12. Cole Reference staff taught four computer instruction classes at the Learning Center in December: one Social Networking class, two Basic Internet classes, and one Email class with a total of 16 students. 13. The North San Diego Genealogical Society held its annual meeting, installation of officers, and holiday luncheon on Tuesday, December 13 with 57 people in attendance. The new 2012 NSDCGS elected officers are noted in the Society's newsletter. 14. The Genealogy volunteers met to prepare the newsletter for mailing for the very last time. The NSDCGS has moved to publishing the newsletter electronically and will be mailing out only 29 newsletters to those members who do not have email. Learning Center... 15. On December 6th, Learning Center staff members Virginia Velati and Lizeth Simonson participated in the Holiday Tree Lighting sponsored bythe Carlsbad Evening Rotary Club and the City of Carlsbad. During the event, staff read a holiday story several times in both English and Spanish to groups of children and adults. Each reading was followed by a craft activity related to the story. Eighty-four school-age children and twenty adults listened to the story and completed the craft. 16. On December 15th, Santa visited the Learning Center, and 91 children of ail ages came to see Santa and have a picture taken with him. Monthly Library Reports for December 2011 17. Carlsbad High School's nationally recognized high school TV station produced a feature piece on Rebecca F., a CHS student who attends the Learning Center and uses Irlen overlays. Rebecca has been a tremendous advocate for the Library's literacy program and related services. 18. Confirmation was received that state funds for libraries, including California Library Literacy Services (CLLS) funds, have been eliminated. Community Outreach Supervisor Carrie Scott completed a survey for CLLS and will participate in a webinar in January to discuss the impact on library literacy programs. 19. Principal Librarian Callie Ahrens retired effective December 30 after over 25 years of working in various positions for the Carlsbad City Library.
