ITEM EXPLANATION: DEPT. DIRECTOR &&- CITY ATTORNEY 45- ClTY MANAGER 1 l- AB# 20.145 MTG. 3/9/10 DEPT. PEM On September 9, 2009 Council approved Resolution 2009-236 authorizing the purchase of a computerized Fleet Management Software system, FleetFocus from AssetWorks Inc. Fleet staff is in the process of implementing this new system at this time. Fleet Focus provides a vast improvement in functionality over the existing software system. Some of those improvements include: REQUEST FOR OUT OF STATE TRAVEL TO ATTEND ASSETWORKS FLEETFOCUS SOFTWARE USERS CONFERENCE Automated email notification to fleet users when vehicles are scheduled for service and also when vehicle service is complete and ready for pickup. In a user self-service model, there is an online customer portal for making service requests and viewing vehicle status. A vehicle replacement and performance modeling module to assist in making cost effective vehicle maintenance, replacement, and procurement decisions. An easy to use and flexible maintenance scheduling function. An inventory function with bar code scanning that allows inventory to be performed with a handheld device and also provides a full audit trail. Over two hundred standard fleet management reports to assist in making decisions regarding current and future business practices. A query function that allows the Fleet managers to download user defined data for immediate custom report writing. Full vendor support 24 hours a day, 7 days a week. The purpose of the conference is to provide Fleet Operations staff with information about the AssetWorks FleetFocus software suite and to provide hands on training of the various features available for operating our fleet, managing equipment replacement, and controlling operational costs. Two members of staff attended the conference last fiscal year and determined the information gained to be very useful. This user conference will provide invaluable training, knowledge and networking opportunities for staff. A variety of classes and workshops are offered which will provide first-hand experience with this new software package. Because the Fleet Focus Software suite is currently being deployed, two additional staff members are requested to attend the conference to maximize the knowledge gained from this event. FISCAL IMPACT: The cost to attend the AssetWorks User Conference is approximately $2,000 per person, which includes flights, shuttles, lodging, and meals. Funds are available in the Fleet operating budget to cover all estimated costs. EXHIBITS: 1. RESOLUTION NO. 20 1 0-04 1 A RESOLUTION OF THE ClTY COUNCIL OF THE CITY OF CARLSBAD, AUTHORIZING OUT-OF-STATE TRAVEL FOR TWO STAFF TO ATTEND THE ASSETWORKS USER CONFERENCE IN PHOENIX, ARIZONA FROM APRIL 1 1-1 5, 201 0. II WHEREAS, the City Council concurs that it is in the public interest to authorize out-of- I( state travel for Fleet Operations Staff to attend training at the AssetWorks User Conference; and II WHEREAS, funds are available in the FY 2009-2010 Fleet budget for the out-of-state II NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Carlsbad, I( California, as follows: II 1. That the above recitations are true and correct. I1 2. That out-of-state travel is hereby authorized in accordance with City policy, I( for two staff to attend training at the AssetWorks User Conference in Phoenix, Arizona from )I April 11-15, 2010. PASSED, APPROVED AND ADOPTED at a Regular Meeting of the City Council of the City of Carlsbad on the 9th day of March, 2010, by the following vote to wit: AYES: Council Members Lewis, Hall, Packatd and Blackbum.
