To: Board of Directors . e, ~hk Chamber of .Co.merce, in 'order to fund its operations and progrants, has in the past relied on the membership dues, the City 06 Carlsbad contract and special fund raising programs such as the dinner, the Funfest, special sections of the newspapers and ether fams of fun4 raisers. The Committee has looked at several idtl.as for funding samer of the needs of the Chamber. Some of the programs we have hela in the past have now been adopted by other organizations, such as the auction, thc formal dinner, etc. The Committee has been concerned too, that in many cases, we are relying heavily on the membership for mosto€ the .support, to purchase ad space, tickets, ctc, We feel wc have an opportunity to have onc.big fund raiser this year. Discussions have been held with the promoters of the Grand Prix Msto Cross, to be held Jun? 20 and 21 at the Carlsbad Raceway, We've also held sone discussions with a national beer company who would be.interested in becoming a sponso' of the Motocross as well as be . of assistarze to the Carlsbad Chmber. For your consideration, we would propose that, if we can secure the necessary permits .... beer, city ar.d state pe,mits, that the Chamber operate the beer conces,sion at the Motocross on June .20 and 21, c u.r in it xently there is no beer sold at'the raceway, Beer is consumed large quantities at the races by attendees, because they bring in by the ice-chest full. The City of Carlsbad has been most reluristsnt to let beer be sold. We feel however, that.this might change, if properly controlled in the sale of beer-. Additionally, the beer distributor wants the Chanbcr to bc the group ts receive the most from thc sales effort. Some preliminary discussions would indicate that there is a great deal of funds to be raised on the two days of the event, The Saturda event will draw about 3,500 to 5,090 pcople (conservatively) and u,i to 30,000 to 40,000 pcople on race day(Sunday). The track is open on Saturday for preliminary tcstir.9, sornc' time trials, pit operations etc. The Sur.day cvcnt starts around 3:OO a.m. until 5:30 nftcr thc races Arc cornplettx!..and thc arccl clos.~~!. A suggcstcd selling price of .. * A . .. a. ..- .-. t ... .. - L .- .. . e- .. ._. .. r .. .,spf‘llage and ‘ddStd# akcounting. for about $25.00 per 1/2 keg and further assaniKg that the 15,000 people would drink six beers, it would mean $67,500 gross, less the cost of the beer, licenses, split with the sponsoring Motocross people and perhaps with others who may be involved, it could mean a great deal of money for a relatively fe hours of effort on the part of the Chamber. Several things would happen: funds away for future needs of the organization in tifines of even tic inflation impacts, (2) reduce the amount of the City-Chamber contra; so the Chamber could do more services for the members and comunity, (3) Involve a good number of Chamber members for a short, one-shot activity, (4) keep a portion of the dollars from the Motocross in OI City....currently all employees of the consession are from outsid& c area, as well as the auxiliary police, grounds crews, etc. (1) The Chamber could put some of the AGTION REQUESTED: The Board of Directors accept the concept of this kind of fund raiser and give the Fund Raiser Committee the directid, to proceed.with any agreements necessary to expedite the event. Thc coinmittee would of course return to the Executive Comittee and the Board of Directors for specific actions as may be necessary. Beforc any contracts or expenditures would be made by.the Committee, it is understood the Executive Committee or Board of Directors would revit and act on specific items or contracts within any guidelines as may be established. If approval is given, the Committee w’i11 piirsue the details of maki final arrangezents for staging the eveit, contact of suppliers, mak application for permits and licenses as required, etc, The Cornnittee has been conservative in its calculations of expectat and feels some upper dollar figures should also be discussed by the Board of Directors. As an example, should the attendance be 40,000 people and each person would consume just two beers, that is 80,UOC beers. If sold at 75C per 10.ounce cup = gross-of $67,500 \ If sold at $3.0.0 per 10 6unce cup = gross of $80,000 ~f sold at $1.25 per 10 ounce cup = gross of $liOO,COO In our proposal we suggested 75C night be about riqht, but; have or attended a major sporting event from S1,OO to $1.50 per cup.
