A-. .- .- r=MWD - AGENDA BILL ;- TITLE: REQUEST TO AUTHORIZE PURCHASE OF VOICE MAIL TELEPHONE SYSTEM AT APPROXIMATE COST OF $27,000 RECOMMENDED ACTION: Adopt Resolution No. 729 approving the installation of a voice mail telephone system and the appropriation of the necessary funds. ITEM EXPLANATION A vital aspect in the District's efforts to deal with the current drought situation is its ability to respond to a large volume of telephone'calls. The demands that have been created due to the need for conservation information, in addition to the llnormall' calls, have taxed the existing phone system. In a proportional relationship, staff's workload has also significantly increased. Expansion of the current voice mail system currently being utilized in other City facilities to the District office would be a tremendous benefit. The wait on all incoming calls would be reduced and overall service improved. As the summer approaches and the public's need for information expands, installation of this system will be critical. FISCAL IMPACT This system was not specifically budgeted for during the current fiscal year. Waiting until July 1991, could have a dramatic effect on our public information efforts. The expenditure of $27,000 can be funded from the District's unappropriated reserves. The $27,000 expenditure would bring the balance of this account to approximately $313,000. II RESOLUTION NO. 729 2 3 A RESOLUTION OF THE BOARD OF DIRECTORS OF THE CARLSBAD MUNICIPAL WATER DISTRICT 4 APPROVING THE INSTALLATION OF VOICE MAIL 6 WHEREAS, the District desires to install a voice mail telephone system in order to cope with the large volume of calls 7 for conservation information; and 8 9 10 11 12 13 14 15 16 17 18 19 20 21 22 23 24 25 26 27 WHEREAS, this system was not funded in the 1990-91 budget. NOW, THEREFORE, BE IT RESOLVED by the Board of Directors of the Carlsbad Municipal Water District as follows: 1. That the above recitations are true and correct: 2. That the amount of $27,000 is hereby appropriated from the Unappropriated Reserve Fund to support the cost of this system; and 3. That District staff be authorized to proceed with the purchase of the system.
